Guidelines for Establishing Communication
The tabs below provide guidelines to support healthy dialogue and honest check-ins throughout your collaboration. We encourage you to make time for these bigger-picture conversations alongside your use of the Goal Manager.
Before agreeing to work together, we strongly encourage Partners and applicants to meet via Zoom, Google Hangout, Skype, WhatsApp, WeChat or any other mutually convenient interface, to discuss the details of your collaboration in depth. Here are a few questions you may wish to consider:
- What is the organization’s mission and current goals? How will the intern contribute to these?
- What qualifications and experience is necessary to fulfill this role? What guidance, training, and resources will the organization provide to support the intern in their work?
- What will a typical week look like for the intern? How much time should the intern expect to dedicate to their work with the organization?
- Who will be supervising the intern and what level of supervision should the intern expect?
- If the internship is taking place in person: What accommodation options are available? What will the intern need to pay, to whom, and when? What travel plans should the intern make? What preventative health measures should they take? What else should the intern know about before coming?
- Introductions: The first meeting can help to establish trust and understanding for your work together. Beyond talking about the organization's work and the intern's role, you might want to share more about yourselves, personally: what else are you involved or interested in? What brought you to this work? What do you like to do in your free time? What does a typical day or week look like for you?
- Setting expectations: It is usually helpful to clearly establish mutual goals and expectations for each other as soon as possible. We encourage you to make use of the Goal Manager above as a framework for this initial conversation.
- Tours: If possible, Partners might want to provide a tour (whether virtually or in person) of the office or local area. Likewise, interns may consider sharing glimpses into their homes and communities through photographs.
- Meeting the team: Most organizations opt to appoint one or two people to supervise interns, but it may also be valuable for interns to meet other members of the team. This could be part of a tour, but could also entail a full-team meeting, or individual meetings with various team members.
- Information about the organization and local context: Some Partners have compiled a collection of resources to help interns acquaint themselves with the work of the organization and the context in which they work. This can also be part of ongoing discussions throughout your time working together.
This is, of course, an ongoing process, and one that emerges differently for everyone. Here, we suggest a few ways that organizations and interns can make space for conversations about their work together as well as broader topics.
Whether collaborations are taking place in person or online, it can be helpful to have an end-date in mind (or at least a date at which you'll revisit your work together). It can also be helpful to provide ideas and set reasonable expectations for interns' continued engagement with the organization, where appropriate.
In person, there might be an opportunity to have an office party or exchange tokens of appreciation for your work together. In the absence of this, you might want to exchange notes of thanks or artwork to show appreciation. It might not be quite the same, but taking time to celebrate together in some form can help to bring some closure to your work together and sustain the good vibes created into the future.
